Identify the Vehicle Fuel-Use Basis Exactly
Copy the numerical value and the complete unit label. MPG must say US or Imperial. Metric sources may report kilometers per liter or liters per 100 kilometers. Higher MPG and km/L indicate more distance per unit of fuel, while lower L/100 km indicates less fuel over a fixed distance.
Record whether the figure comes from a label, dashboard, fleet record, or measured distance and fuel. Labels support standardized comparison; a reliable recent measurement from similar conditions may better represent one route.
Normalize Route and Fuel Through Named Units
Convert route and fuel only after the source systems are identified. The international mile is exactly 1.609344 kilometers. The US liquid gallon is exactly 3.785411784 liters, while the Imperial gallon is 4.54609 liters. These relationships allow a route in kilometers, efficiency in Imperial MPG, and price per liter to coexist without treating unlike volumes as equal.
Natural Resources Canada gives rounded reciprocal factors: US MPG is about 235.21 divided by L/100 km, and Imperial MPG is about 282.48 divided by L/100 km. Preserve internal precision and round only the report.

Match Fuel Volume With the Pump-Price Volume
Calculate fuel needed in the unit named by the vehicle basis, then convert it to the unit named by the price. A price per liter must multiply liters, a price per US gallon must multiply US gallons, and a price per Imperial gallon must multiply Imperial gallons. Currency changes formatting and meaning, but it does not convert exchange rates.
Date and source the price because location, grade, station, tax, and time can change it. Model different markets or fuels as separate segments unless a documented blended price is justified.

Keep Non-Fuel Costs and Sharing Rules Visible
Add tolls, parking, ferries, or another known amount after fuel is calculated. This preserves a fuel-only subtotal and avoids suggesting that fixed charges came from vehicle consumption. If several categories matter, keep an external ledger and enter only its documented total rather than losing the category detail.
Define the sharing rule before dividing. An equal split is arithmetic, not advice about who should pay. Wear, depreciation, maintenance, insurance, finance, time, lodging, and food stay outside unless deliberately added and labeled.
Test Conditions That Can Move Actual Consumption
The US EPA identifies traffic, speed, terrain, weather, vehicle load, tire pressure, maintenance, driving behavior, and other conditions as reasons actual fuel economy varies. Idling is especially important because it burns fuel without increasing the route distance used in an MPG calculation.
Change modeled fuel use while holding route and price fixed. A 10% fuel-use increase raises fuel-only cost by 10%. These rows are not confidence intervals. For consequential budgets, document route, consumption, and price scenarios separately.

Reconcile the Estimate After the Trip
Retain starting and ending odometer readings or a reliable route log, fuel volume from receipts, amount paid, and any added non-fuel costs. Replace the planned values with those records and compare the result with the original budget. Keep route variance, consumption variance, and price variance separate so the reason for a difference remains visible.
Tank measurements vary with fill level, pump shutoff, slope, temperature, and partial fills. Several representative fills are usually more stable than one short interval. Keep dashboard estimates separate from receipt and distance evidence.
Archive a Reproducible Fuel-Cost Record
A useful record states route source and date, one-way or total scope, repetition count, allowance reason, vehicle and fuel type, numerical consumption basis with its full unit, price and price-volume unit, currency, other-cost categories, traveler rule, calculation date, and final rounding. Attach the exported result to those source records rather than treating the PDF as evidence by itself.
